Personal data collected by the International Cooperation Service Facility (the contractor of the European Commission for this conference) during registration of participants includes name, surname, professional affiliation, job title, address (Country), phone numbers and e-mail address.

The International Cooperation Service Facility will only disclose information to third parties if that is necessary for the fulfilment of the conference organizational purposes and to the following recipients: the European Commission’s ordering service and security service, the web and print agencies.
Please note that we will not divulge your personal data for direct-marketing purposes.
The contractor, including subcontractor(s) will not transfer or make available in any form the data to any person or institution without the prior written consent of the European Commission.

We are committed to ensuring that your information is collected (through the usage of a properly setup SSL / TLS certificate) and stored in a secure way.
In order to prevent unauthorized access or disclosure, we put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect online.
The data will be stored only on servers located within the EU/EEA for a maximum period of 12 months.
After this retention period, all personal data collected for registrations purpose will be deleted from both the collecting and backup servers.

The data-set may be used only in compliance with the data protection principles in Regulation(EC) 45/20011.
When working with subcontractor(s), the contractor will include in the relevant contracts appropriate contractual provisions to ensure that the data is used by the subcontractor(s) in line with Regulation (EC) 45/2001 or equivalent national data protection legislation and that the use is strictly limited to the purpose of the contract.
The contractor, including sub-contractor(s), will undertake to comply with any additional security requirements communicated by the European Commission and/or European Data Protection Supervisor (EDPS) in writing at any stage of the project.
The contractor will ensure that the data is only accessible to parties which are subject to confidentiality obligations and that a confidentiality declaration is signed by all members of the project team.

When registering to the online course, the applicant (or the applicant’s legal representative) supplies his/her personal data for the purposes of conducting the training modules.

The Controller does not verify any of the personal data provided. The person providing supplying such data shall be fully liable for their accuracy. When providing the applicant’s e-mail address, the applicant takes responsibility for only using the services from the e-mail address provided by himself/herself. In this respect, the registered user of any e-mail address shall solely be liable for all logins into the website from that specific e-mail address. When the applicant provides the personal data of any third party, the applicant shall obtain the relevant data subject’s consent.

The purpose of data processing: Handling the registration through the website, registration of the applicants, differentiation the applicants, providing information about the modules, liaising with the applicants and following up after the completion of the modules.

The scope of the data processed:  In order to be able to register to a course we need you to provide us with certain personal data so that we can develop tailored support. The data we ask and handle are First Name, Surname, e-mail, postal address, institution name, country, stakeholder type, organisation URL.

The term of data processing: The data will be processed by the Controller until the purpose of the data processing is achieved, i.e., until the completion of performance of obligations related to the online course and until the expiry of the mandatory term of archiving prescribed by the respective laws and regulations.

Online training modules for international researchers and organisations, you agree that your contact data will be included to the stakeholder database of the Service Facility for International Cooperation of the European Commission. The aim of the database is to inform its members about European research and innovation, cooperation opportunities with European researchers and activities and events in this context of the specific region or country a contact is based or interested in.
